Email Delivery and the Sent folder
What this screen is for. Every automated email your business sends — booking confirmations, reminders, report delivery, receipts, review invites — with honest statuses in plain words, and a Retry wherever retrying can actually work. The Sent folder is the same story as one simple list. How to get there. Sidebar → Messages → the Email Delivery tab. The Sent folder has no sidebar row: open the /outbox address directly, or use "See sent texts" on Marketing → Text Messages. What every button does Email Delivery: The five tiles — Queued (due to go now) · Scheduled (a future send time) · Handed to mail service · Failed · Total. The Failed tile is also a filter: tap it to see only failed rows ("Tap to see just these"), tap again to clear. The arithmetic always closes. Send due now — pushes everything currently due out the door and reports the real outcome in a colored line: green ("Handed 3 messages to our mail service."), red for failures with Retry, or the honest amber — "email sending isn't enabled yet, so nothing was sent." The auto-send line — the app checks for due messages every couple of minutes while the dashboard is open, and says exactly what happened last ("checked 3:14 PM — nothing was due"). It never fakes a success. The table — each message's Type in human words (Booking confirmed · Inspection reminder · Report email · Review request · Payment receipt · and friends), who it's to, the subject, when, and a Status badge in plain words, plus an amber Overdue chip if something's been sitting more than ten minutes. Retry appears on failed rows only. View message (the eye) — the exact email the person gets, subject and all. A text message preview shows no subject and its own footer, as a real text would. A failed message's preview names the failure and offers Retry now — on a phone, the preview is where Retry lives. The Sent folder: A banner up top when anything needs attention ("2 messages need attention — they haven't gone out. They're at the top of the list.") — and they are. Statuses read Sent · Waiting to send · Could not send · Cancelled — a queued message never reads "Sent." Failures come with a plain-word reason and "Tried N times." — "That email address doesn't look right — check it and try again," "The mail service asked us to slow down." Retry shows only where a retry can work; a message the system is already retrying explains itself and offers no button. Common questions "My client never got the report email — where do I check?" Email Delivery → search their name. The row's status tells you the truth: handed to the mail service (with the time), still waiting, or failed with the reason and a Retry. "What does 'Handed to mail service' mean — did it arrive?" It means our mail service accepted it, which is all anyone can know without a reply — that's why it doesn't say "Delivered." If the address was wrong, it'll come back as failed instead. "What emails does the app send on its own?" Booking request received, booking confirmed, the day's reminders, the report email, the invoice and payment receipt, review invites, and the "your inspector replied" nudge — each visible here before and after it goes. "What's the difference between Queued and Scheduled?" Queued is due right now; Scheduled has its send time in the future (a reminder waiting for the day before the inspection). "Why is 'Send due now' lit when nothing seems to happen?" Everything pending might be scheduled for later — the button only pushes what's already due. "Where are my sent text messages?" The Sent folder shows texts too — reach it from Marketing → Text Messages → "See sent texts." Good to know "Send due now" pushes every due message on the account — not just yours. On a server without an email key, nothing pretends: messages stay honestly "Waiting to send" and the amber line says why. The Sent folder has no sidebar entry today — bookmark /outbox if you live there. (It's on the confusion ledger.) Old /communications bookmarks land on Messages — on the Report Questions tab, so click over to Email Delivery.
